Privacy Notice for Applicants

We are pleased about your interest in working for our company. In accordance with Art. 13 GDPR, we inform you below about the processing of your personal data in the context of the application process.

2. Purpose and Legal Basis of Data Processing

We process your personal data exclusively for the purpose of conducting the application process and deciding whether to establish an employment relationship (Art. 6 para. 1 lit. b GDPR in conjunction with Section 26 para. 1 BDSG). Where special categories of personal data within the meaning of Art. 9 para. 1 GDPR are involved, processing is carried out on the basis of Section 26 para. 3 BDSG or Art. 9 para. 2 lit. b GDPR.

If an employment relationship is established, your application data will be further processed for the purpose of carrying out the employment relationship pursuant to Art. 6 para. 1 lit. b GDPR in conjunction with Section 26 para. 1 BDSG.

If you give us your consent to store your data in our applicant pool, processing is additionally based on Art. 6 para. 1 lit. a GDPR. This consent may be withdrawn at any time.

Processing may also be based on Art. 6 para. 1 lit. f GDPR for the purpose of defending or asserting legal claims, where our legitimate interest lies in the enforcement of our legal rights.

Where necessary in individual cases to assess your professional or personal suitability, we may also process personal data lawfully obtained from publicly accessible sources (e.g. professional social networks, press reports, or publicly accessible search engine entries). This is done exclusively within the context of the application process and on the basis of Art. 6 para. 1 lit. f GDPR in conjunction with Section 26 BDSG, with our legitimate interest being the integrity check and an informed selection decision.

You have the right pursuant to Art. 21 GDPR to object to this processing at any time on grounds relating to your particular situation.

3. Categories of Data Processed

In particular, the following categories of data are processed:

  • Master data (name, address, contact details, date of birth)
  • Application documents (CV, cover letter, certificates)
  • Communication data (email correspondence, interview notes)
  • Special categories of personal data, where voluntarily provided or legally required (e.g. information about a severe disability)

4. Recipients of Data

Within our company, only those persons involved in the application process have access to your data. We also use an external IT service provider as a data processor pursuant to Art. 28 GDPR, with whom a corresponding agreement has been concluded.

Your data is not passed on to third parties outside our company unless you have consented or there is a legal obligation to do so.

5. Retention Period

Your data will be deleted six months after the conclusion of the application process, unless a longer retention period is required for the assertion or defence of legal claims (Art. 6 para. 1 lit. f GDPR in conjunction with Section 22 para. 1 No. 1 lit. b BDSG). Physical documents will be destroyed in a data protection-compliant manner.

If you have consented to being included in our applicant pool, your data will be deleted after a maximum of two years.

In the event of appointment, your application data will be transferred to our personnel information system and further processed there in the context of the employment relationship (Art. 6 para. 1 lit. b GDPR in conjunction with Section 26 para. 1 BDSG).

6. Location of Data Processing

Your personal data is generally processed in data centres within the Federal Republic of Germany. In cases where processing takes place outside Germany, we ensure through appropriate contractual, technical and organisational measures that an adequate level of data protection in accordance with the requirements of the GDPR is guaranteed.

7. Your Rights as a Data Subject

In accordance with Art. 12 et seq. GDPR, you have the following rights at any time with regard to the processing of your personal data:

  • Right of access (Art. 15 GDPR): You have the right to request confirmation as to whether personal data concerning you is being processed. If this is the case, you have the right to access this data and to receive further information in accordance with Art. 15 para. 1 GDPR.
  • Right to rectification (Art. 16 GDPR): You have the right to request the immediate correction of inaccurate or the completion of incomplete personal data.
  • Right to erasure (Art. 17 GDPR – "right to be forgotten"): You have the right to request the immediate erasure of your personal data where the legal requirements are met, in particular where the data is no longer necessary for the purposes for which it was collected or otherwise processed.
  • Right to restriction of processing (Art. 18 GDPR): You have the right to request the restriction of the processing of your personal data where one of the conditions set out in Art. 18 GDPR is met.
  • Right to data portability (Art. 20 GDPR): You have the right to receive the personal data concerning you that you have provided to us in a structured, commonly used and machine-readable format, and to transmit this data to another controller.
  • Right to object (Art. 21 GDPR): You have the right to object at any time, on grounds relating to your particular situation, to the processing of personal data concerning you which is carried out on the basis of Art. 6 para. 1 lit. e or f GDPR.
  • Withdrawal of consent (Art. 7 para. 3 GDPR): You have the right to withdraw consent once given at any time with effect for the future. The lawfulness of processing carried out prior to the withdrawal remains unaffected.

If you are of the opinion that the processing of your personal data violates data protection regulations, you have the right pursuant to Art. 77 GDPR to lodge a complaint with a competent data protection supervisory authority. 8. No Automated Decision-Making

No automated decision-making or profiling within the meaning of Art. 22 GDPR takes place.

9. Changes to this Notice

We reserve the right to update this notice in the event of changes to data processing or legal requirements. The current version can always be found here or on our website:
